About Pattens Group
Pattens Group is Australia's most experienced grant and R&D Tax Incentive advisory firm. For more than 35 years they have helped many thousands of Australian businesses across manufacturing, software, AI, biotechnology, engineering, agriculture, defence and advanced technology secure over $3 billion in funding outcomes.
The challenge
Like many mature professional services firms, Pattens' technology stack had evolved over three decades. The business ran across MYOB AO, SharePoint, Instantly, Apollo.ai, Reply.io, spreadsheets and email - with client information, sales activity, project delivery, compliance records and reporting spread over six or more disconnected systems.
The result was duplication, manual handovers between sales and delivery, fragmented reporting and limited real-time visibility across the client lifecycle. The business was performing strongly, but its systems were starting to constrain future growth.
Why Ignition
Ignition stood out by focusing on understanding the business before proposing a solution - mapping workflows, identifying bottlenecks and accounting for compliance requirements. Combined with deep, long-standing monday.com expertise and a consultative approach, that gave Pattens confidence the outcome would be transformational rather than just another software deployment.
The solution
Ignition designed and implemented an end-to-end business operating system on monday.com, built on monday CRM and monday Work Management. Leads now enter structured sales pipelines where automated workflows manage follow-up and progression. Once a client engages, information transitions seamlessly into onboarding and project delivery - tasks, milestones, responsibilities, communications and documents all managed from one place.
Management dashboards provide live visibility across sales, marketing, onboarding, delivery, team workloads and operational KPIs, giving the business a single source of truth from first contact through to project completion.
"The biggest benefit has been allowing our team to spend more time advising clients and less time managing systems."
The results
- Core operational platforms reduced from 6+ systems to one integrated platform
- 35+ years of operational knowledge consolidated into a single environment
- Estimated 60% reduction in administrative handling time
- Estimated 90% reduction in duplicate data entry
- 100% visibility across the client lifecycle, with real-time dashboards replacing manual reporting
- Standardised workflows that support future growth without adding new systems
- Faster onboarding, more consistent communication and improved response times
Adoption exceeded expectations. The visual, intuitive nature of monday.com made workflows easier to manage, and the platform is now part of daily operations across sales, administration, delivery and management.
What's next
The implementation provides a foundation for the next phase of growth. Planned initiatives include AI-assisted workflow automation, automated document generation, advanced business intelligence, enhanced client self-service and predictive operational analytics - continuing to build a highly automated, data-driven advisory business.
